Meeting Minutes
Oregon Chapter of IAPP
January 15, 2003


The Oregon Chapter of IAPP meeting was held on January 15, 2003 at the World Forestry Center's Cheatham Hall in Northwest Portland. There were 28 National members and 36 guests for a total of 64 in attendance.

Mike Boyle, Oregon Chapter President opened the meeting at 10:00 A.M. by welcoming and thanking the attendees for coming. Mike also stated that the "social" time was a hit and was a wonderful networking opportunity for us all. He introduced himself and the other board members, Phyllis Kaylor - Vice President and Kim Frantz - Secretary. Mike thanked Stout Causey Consulting for sponsoring the facility as well as a buffet lunch catered by Gina's Catering. Mike discussed our local chapter and the benefits of belonging to the National IAPP. He gave some information about the opportunities at the annual forum, which includes general sessions, workshops and the opportunity to take the CAPP exam.

 
 

Mike then introduced Dennis Carter with Balance Consulting. Dennis gave an hour and a half interactive session on Form 1099. Dennis was personable and engaging and the group was full of great and timely questions. Some of the high points of the presentation are listed below:

· Important IRS filing dates
· Information to be reported and the documentation required
· What does the IRS look for
· IRS's name and TIN matching system
· B Notices
· Publication 1220 IT information on electronic filing
· A new IRS system to be available on the internet in the future
· Exemptions
· The new IRS w-9 form
· The do's and don'ts
· What's new for 2002 returns
· Corrections and policies
· State reporting - combined federal/state program

Dennis concluded his presentation with a demo of Balance Consulting's Manchester Software. There were a few questions that Dennis was unable to answer fully; however he was going to follow up before the end of the meeting with the answers after a little research.
At 11:30 A.M. we broke for a wonderful buffet lunch and a little more time for more networking.
   
At 12:15 P.M. Mike introduced Brian Davis with Stout Causey Consulting, who presented Accounts Payable Best Practices. Brain began by introducing Andrew Spahn and Rena Machin who are also with Stout Causey Consulting, which is based in Hunt Valley, Maryland. Brian was quick to see that the lunch
had taken its toll on the group and had planned a head for just such an occurrence. He pulled a stack of $2.00 bills from his blazer pocket and started handing out money to those who participated in the discussion. In short order we were having great discussion, sharing ideas and have a good laugh or two a long the way. Mike Boyle indicated he would have the presentation on our web site.
At 1:00 P.M. Dennis Carter with Balance Consulting returned to the podium to present answers to a few questions which he had researched after his presentation. After Dennis concluded Mike presented offered time for a town hall meeting regarding any questions or concerns. No issues were presented. Mike announced that our next meeting would be held at Nike World Headquarters in the Tiger Woods Conference Center in Beaverton on March 26, 2003 and would be sponsored by PRG.
Mike had Linda Lundervold with Fred Meyer and Rena Machin with Stout Causey Consulting draw the names for the door prizes. The recipients are as follows:

At the conclusion of the meeting Mike thanked the companies that donated the door prizes and encouraged future donations. He also thanked Stout Causey Consulting for sponsoring the meeting and sharing their Best Practices presentation and Dennis Carter with Balance Consulting for sharing his Form 1099 presentation. Mike encouraged future attendance of the Oregon Chapters IAPP meetings and again thanked everyone for coming. The meeting was adjourned.
